The Warehouse Innovation Center (WIC) Coordinator is the primary point of contact for all activities related to the WIC. This individual will coordinate customer visits, ensure the facility is presentation-ready, and support the sales team by facilitating a seamless, high-quality experience for both internal and external stakeholders. This role is vital in showcasing our stewardship, innovation, capabilities, and customer-first approach while ensuring the WIC reflects the highest standards of professionalism and hospitality.

Job Responsibilities:
Schedule and coordinate customer visits in collaboration with sales representatives and managers.
Manage guest communications, including invitations, confirmations, and follow-up communications.
Arrange hospitality logistics such as hotel accommodations, dining reservations, and event participation.
Ensure snacks, beverages, and light refreshments are readily available for guests.
Develop and maintain a vendor network for catering, promotional resources, entertainment, and other event support services.
Provide a personalized and professional guest experience, ensuring all needs are anticipated and met.
Ensure the WIC is clean, organized, and presentation-ready at all times.
Ensure all demo equipment is fully charged, cleaned, and in working order. Work with internal teams to track equipment location/status and rotate equipment as needed.
Coordinate pre-meeting briefings with sales team to align on visit objectives, customer profiles, and roles.
Prepare and distribute meeting agendas or visit plans to internal stakeholders, ensure team readiness for all scheduled visits, and track attendance.
Maintain a centralized WIC calendar to avoid scheduling conflicts, and log customer visits, feedback, and outcomes.
Monitor and replenish supplies for the WIC such as snacks, beverages, paper products, and other hospitality items.
Manage visitor sign-in and safety protocol procedures.
Assist with creating or updating WIC tour materials, presentations, and signage.
Collaborate with marketing on customer leave-behinds or branded materials.
Facilitate post-visit debriefs with the sales team to gather feedback, insights, and action items.
Track visit effectiveness and compile visit summary reports for leadership.
Assist in planning or supporting WIC-hosted events and sales trainings.
Act as point-of-contact for any maintenance items or facility issues within the WIC.
Present a professional image in personal appearance, dress and preparation.
Perform other duties as assigned.

Able to meet physical requirements of the job.
Valid driver's license and dependable vehicle.

Working Conditions: Hours will be 7:30 a.m. - 4:00 p.m., Monday through Friday. Occasional overtime may be required. This is an hourly, non-exempt position.
